How to Change Property Managers on the Gold Coast: Queensland Landlord Guide
Change property managers on the Gold Coast safely: Queensland notice rules, Form 6, RTA Form 5, handover records and a landlord checklist.
To change property managers on the Gold Coast, check your current appointment, confirm a valid end date, appoint the replacement in writing and coordinate the tenancy-file handover. A change of managing agent does not by itself end an existing tenancy. Keep the tenant informed and update the RTA's records where required.

1. Check the current Form 6 and notice requirements
Locate your signed residential agent appointment and its schedules. Check the appointment type, termination provisions, method for giving notice, outstanding fees and proposed final date.
The Queensland Government's property-agent guidance says either party may end a continuing appointment by giving at least 30 days' written notice, or less if both parties agree. It warns that appointing another agent before the existing appointment ends can create liability for commission under both appointments or damages for breach of contract.
Do not assume a phone conversation starts the notice period. Keep the written notice, proof of delivery and any agreed variation. Confirm the incoming agent's start date against the valid end date of the outgoing appointment.
2. Compare and appoint the incoming manager
Check the new agent's licence and obtain a complete written scope and fee schedule. The Queensland Government says Form 6 sets out the services, charges, other costs and payment timing. Read BWPG's property management fee comparison guide before comparing proposals.
- Confirm the day-to-day manager and backup arrangements.
- Agree the inspection, reporting and communication process.
- Check repair authority, urgent-repair handling and expense approval limits.
- Identify who coordinates the handover and reconciles missing records.
3. Transfer the complete management file
Use a written handover checklist, with appropriate owner authority for the agencies to exchange the records needed to manage the tenancy.
- Signed lease, variations, relevant notices and lease-expiry dates.
- Rent ledger, paid-to date, arrears information and outgoing statement.
- Bond details, tenant contact information and agreed payment arrangements.
- Entry condition report, photographs and inspection reports.
- Keys, remotes and the access-device register.
- Open repairs, quotes, invoices, warranties and relevant compliance records.
- Owner instructions, approved expenditure and unresolved disputes.
The incoming manager should identify missing information, reconcile the ledger and diarise upcoming dates. Do not send passwords or access codes through an unverified email thread.
4. Update the RTA and tell the tenant
The RTA's Change of property manager/owner (Form 5) notifies the RTA of a change in an ongoing tenancy. The RTA says the old and new property manager/owner should sign the form and lodge it. If this is not possible, contact the RTA. Download the current form from the official page.
The RTA's change-of-manager guidance also says a copy should go to the tenant. The incoming manager should provide current contact details, preferred communication channels and rent-payment options that meet requirements.
Any changed bank instructions should be independently verified through a trusted contact channel before a payment is made.
5. Check the first statement after handover
Compare the incoming opening balance and rent paid-to date with the outgoing records. Confirm bond details, unpaid invoices, agreed fees, open repairs and upcoming inspection or lease dates. Ask for discrepancies and missing documents to be resolved in writing.
Common switching questions
Can I switch while the property is tenanted?
Yes. RTA Form 5 is expressly used for a change of manager or owner in an ongoing tenancy. Coordinate the records and tenant communication rather than assuming the tenancy must end.
How much notice is required?
Queensland Government guidance specifies at least 30 days' written notice for a continuing appointment, or a shorter period if both parties agree. Check the signed appointment and seek advice if the terms or appointment type are unclear.
What if the outgoing agent will not sign Form 5?
The RTA says to contact it if the form cannot be completed and signed normally. Seek independent advice for disputes over the appointment, money, records or authority.
Discuss a Gold Coast management handover
Read about BWPG's Gold Coast property management service or contact the team to discuss your property and current appointment. A handover plan should be based on the actual documents, tenancy status and agreed dates, not a promise of an instant transfer.
